What services does HotelX provide?
HotelX specializes in group hotel sourcing and event planning management. We help organizations secure the best hotel accommodations, negotiate rates, manage room blocks, and, if needed, coordinate all aspects of event planning to ensure seamless execution.

What is the additional cost for your site sourcing service?
Nothing! We receive a commission from the hotels for bringing them your business. We do not have preferred agreements with specific hotels so you can be sure that we are finding the right fit for YOU.

How does it work?
We gather your room block, meeting space and F&B requirements and ensure we are all on the same page. Once complete, we submit RFPs to multiple hotels that fit your criteria. Once proposals are received, we will provide you with a comprehensive report for your review. After your selection, we communicate with the hotel to negotiate and prepare the contract. We include any contract clauses or procurement requirements from your organization. We are also able to assist with any meeting/event services you need support with at an hourly rate.

Yes! On average we save clients 10-20 hours of research, RFP creation, hotel communication and negotiation. We are your partner in the search and keep you updated throughout the process.
